After hearing your feedback, we have updated the process in which students are hired. The changes have been designed to alleviate work on the supervisor’s end and place it with the Human Resources office. This will also help ensure compliance with state and federal laws, as well as, employment authorization for all student hires at Willamette University.
Starting Friday, February 14th, we will be placing a one day hold on student hiring. This will give us time to make the necessary updates in Workday. The changes will take effect starting February 17th.
The updated hiring procedure is as follows:
- Department requests job requisition to be opened for student hiring using the Student Employment Request Google Form. Noting if the position will be a direct hire or an open recruitment via Handshake
- HR will review the job description and approve the rate of pay based on the duties, wage guidelines and internal equity of the position.
- HR will create the position in Workday. The position will then route to the Manager for approval as per the current process.
- Once the job requisition is approved and the finalist/direct hire is provided to the HR team, HR will initiate the direct hire for the student. The hire action then routes to the Manager for final approval. The manager of the student will need to approve the hire directly in Workday at this stage. HR will communicate the onboarding and I-9 process with the student once hired. We do still encourage all managers to communicate the onboarding and I-9 process with their new hires prior to hire being completed to allow students to be prepared for these action items and verification.
